Thank you for wanting to help. These guidelines allow us to easily add collectible item information to our catalog. Please read carefully. It's advised that on your first contribution you would send your work with a few items to ensure you have followed the guidelines.
Before You Begin

First Step
"New Items Form (NIF)" is an Excel file used for contributions. Please download the relevant one here: Phonecards | Stamps | Coins | Banknotes | Bottle Caps | Tea Bags | Postcards | Transportation Tickets | Hotel Key Cards | Bank Cards | Gift Cards | Casino Cards | Beer Coasters .
After downloading, please rename the file according to the date and work you are about to perform.

Filling the Information
Please fill as much information as possible about every item. Try to include all the items available in the relevant series, country or catalog. Be sure to use standard English alphabet only.
The NIF contains detailed explanations about what information should be written in it. Follow these explanations carefully.
Coins
- Catalog code - The best would be to use a code from a well-known catalog.
- Value - number only, such as: 100, 5.25, 50.
- Subject - only when relevant.
- Date issued and Last Issue date - Fill the year (or full date) when the coins were first and last issued.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Weight in grams - number only, such as: 17, 5.25, 35.
- Diameter in mm - number only, such as: 17, 25.5, 19.
- Composition - select from the list.
- Composition Details - only when relevant, extra details about the composition.
- Mintage - number only, such as: 10000, 200000.
- Edge Variety - only when relevant.
- Mint - select from the list.
- Distribution - select from the list.
- Description - any additional information to be displayed.
Stamps
- Series - Use the series names where it is possible and unite relevant issues. Leave blank if not in a series or in an unknown series.
- Catalog code - If possible, use a code (or codes) from well-known catalogs. If using your OWN catalog codes, please ensure your data is complete and correct.
- Name - Best would be to use the name printed on the card or a name from a known catalog. Use only English alphabet. When relevant, use English as translations to other languages can easily be done later. Example: Italian 'Lupo' could be shown as 'Lupo Canis lupus (wolf)'.
- Date issued - Please format like: 1997-10-30 (yyyy-mm-dd) If day or month are unknown use 00 as in: 1884-00-00 or 1965-11-00.
- Face value - such as: 5, 2.50+0.50, 120.
- Print run - number only, such as: 10000, 200000.
- Format - select from the list.
- Emission - select from the list.
- Perforation - select from the list.
- Printing Method - select from the list.
- Width in mm - number only, such as: 17, 25.5, 19.
- Height in mm - number only, such as: 17, 25.5, 19.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Description - any additional information to be displayed.
- Tags - comma-separated list of tags, such as: Famous People,Sports.
- Colors - comma-separated list of colors, such as: light blue, green, cyan.
Phonecards
- Series - Use the series names where it is possible and unite relevant issues. Leave blank if not in a series or in an unknown series.
- Catalog code - The best would be to use the code shown on card or a code from a well-known printed catalog or on-line databases. If using your OWN catalog codes, please ensure your data is complete and correct. IMPORTANT - if updating an existing database - please continue using its codes and don't change it to your version.
- Name - Best would be to use the name printed on the card or a name from a known catalog. Use only English alphabet.When relevant, add English translation so that users would be able to find the card. Example: Italian 'Lupo' could be shown as 'Lupo Canis lupus (wolf)'.
- Date issued and Expiry date - Format ONLY as 'yyyy-mm-dd' (as in 1997-05-01). If you know only the year of issue just use 01 for month and day, as in 1994-01-01.
- Face value - number only, such as: 100, 5.25, 50.

- Card system - select from the list.

- Mintage - number only, such as: 10000, 200000.
- Date issued and Last Issue date - Fill the year (or full date) when the coins were first and last issued.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Width in mm - number only, such as: 17, 25.5, 19.
- Height in mm - number only, such as: 17, 25.5, 19.
- Subject - only when relevant.
- Description - any additional information to be displayed.
Bottle Caps
- Catalog code - Please follow conventions of the current catalog.
- Production Date - Fill the year (or full date) if known.
- Producer - select from the list. Only if it doesn't exist enter a new one.
- Location - town, city or village where the producer is located.
- Cap Type - select from the list.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Description - any additional information to be displayed.
Tea Bags
- Series - Use the series names where it is possible and unite relevant issues. Leave blank if not in a series or in an unknown series.
- Catalog code - The best would be to use the code shown on card or a code from a well-known printed catalog or on-line databases. If using your OWN catalog codes, please ensure your data is complete and correct. IMPORTANT - if updating an existing database - please continue using its codes and don't change it to your version.
- Name - Best would be to use the name printed on the card or a name from a known catalog. Use only English alphabet.When relevant, add English translation so that users would be able to find the card. Example: Italian 'Lupo' could be shown as 'Lupo Canis lupus (wolf)'.
- Number - Number on the tea bag - will be added as a "Catalog code" for a catalog name depending on the brand name.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Description - any additional information to be displayed.
Postcards
- Series - Use the series names where it is possible and unite relevant issues. Leave blank if not in a series or in an unknown series.
- Catalog code - The best would be to use the code shown on card or a code from a well-known printed catalog or on-line databases. - Issuer - Name of company issuing the card, such as mastercard or visa.
- Catalog code - The best would be to use the code shown on card or a code from a well-known printed catalog or on-line databases. If using your OWN catalog codes, please ensure your data is complete and correct. IMPORTANT - if updating an existing database - please continue using its codes and don't change it to your version.
- Card Type - select from the list.
- Name - Best would be to use the name printed on the card or a name from a known catalog. Use only English alphabet.When relevant, add English translation so that users would be able to find the card. Example: Italian 'Lupo' could be shown as 'Lupo Canis lupus (wolf)'.
- Issuing Bank - name of the bank supplying the card.
- Description - any additional information to be displayed.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
Hotel Key Cards
- Location - town, city or village where the hotel is located.
- Catalog code - The best would be to use the code shown on card or a code from a well-known printed catalog or on-line databases. If using your OWN catalog codes, please ensure your data is complete and correct. IMPORTANT - if updating an existing database - please continue using its codes and don't change it to your version.
- Name - Best would be to use the name printed on the card or a name from a known catalog. Use only English alphabet.When relevant, add English translation so that users would be able to find the card. Example: Italian 'Lupo' could be shown as 'Lupo Canis lupus (wolf)'.
- Hotel Chain - If the hotel belongs to a chain, enter its name here.
- Card system - select from the list.
- Picture file names - Do not insert pictures to the Excel file, use only text!. You may use a URL (use the complete link to the picture) or a filename (which you will send with the NIF later, please lowercase only and no spaces in filenames. Please include only pictures without watermarks.
- Description - any additional information to be displayed.
Transportation Tickets
- Series - Use the series names where it is possible and unite relevant issues. Leave blank if not in a series or in an unknown series.
